MindSoul Meditations — Privacy Policy

MindSoul Meditations ("MindSoul," "we," "us," or "our") operates mindsoulmeditations.com (the "Site"), including our art therapy series, open calls, blog, shop, and community programming. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have.
1. Information We Collect
Information you give us directly:
- Name, email address, and contact details (e.g., when you join our newsletter, submit to an open call, or contact us)
- Artwork, artist statements, bios, photos, and any other materials submitted for open calls or the art therapy series
- Account information if you register with the Site (via Supabase authentication)
- Payment and order details when you purchase from our shop (processed by Square — see Section 4)
- Messages you send us, including feedback, testimonials, and support requests
Information collected automatically:
- Device and usage data (browser type, pages visited, referring URLs) via standard website analytics
- Cookies and similar technologies used to keep the Site functioning and to understand how it's used
2. How We Use Your Information
We use your information to:
- Operate the Site and deliver the content, meditations, and programming you request
- Review and manage open call and Season submissions
- Process purchases and fulfill orders
- Send newsletters, program updates, and open call announcements (you can unsubscribe anytime)
- Feature selected artwork, bios, and credits publicly as part of exhibitions, episodes, or promotional materials, consistent with the Artist Terms
- Improve the Site and our programming
- Comply with legal obligations
We do not sell your personal information.
3. How We Share Information
We share information only:
- With service providers who help us run the Site (hosting/database, payment processing, email delivery), under obligations to protect it
- With partner organizations directly involved in an open call you submit to (e.g., Webbie Social, co-presenting galleries, or funders), limited to what's needed to run that call
- When required by law, or to protect the safety of MindSoul, our community, or others
- With your consent
4. Third-Party Services
The Site relies on third-party services, each governed by its own privacy policy:
- Supabase — database, authentication, and storage
- Square — payment processing for shop purchases
- Patreon — membership and supporter content
- YouTube — embedded video content
We encourage you to review those providers' privacy policies as well.
5. Data Retention
We keep personal information for as long as needed to provide our services, maintain accurate records of open calls and exhibitions, and meet legal or accounting requirements. Artwork and credits featured as part of a published Season or exhibition may remain part of our public archive after a program ends.
6. Your Rights (Canada — PIPEDA)
MindSoul Meditations is based in Ontario, Canada, and handles personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and its 10 fair information principles (accountability, identified purposes, consent, limited collection, limited use/disclosure/retention, accuracy, safeguards, openness, individual access, and challenging compliance).
Under PIPEDA, you have the right to:
- Know why we collect your information and how it's used
- Access the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent for marketing or optional uses at any time, subject to legal or contractual restrictions
- File a complaint with us, or with the Office of the Privacy Commissioner of Canada (OPC), if you believe we've mishandled your information
Privacy Officer: MindSoul Meditations has designated Candyce (Charoa) Rowlandson, Founder as our Privacy Officer, responsible for our compliance with this policy. Reach them at info@mindsoulmeditations.com.
Breach notification: In the event of a data breach that creates a real risk of significant harm, we will notify affected individuals and the OPC as required by law.
If you're in Quebec, Quebec's Law 25 may apply to you in addition to PIPEDA; where the two differ, we follow whichever standard is stricter.
7. Email Communications & Consent (CASL)
We only send newsletters and promotional emails to people who have given express or implied consent, in line with Canada's Anti-Spam Legislation (CASL). Every commercial email we send will:
- Identify MindSoul Meditations as the sender, with contact information
- Include a working unsubscribe link, processed within 10 business days
- Only continue if you haven't withdrawn consent
You can unsubscribe at any time using the link in any email, or by contacting us directly.
8. International Visitors — GDPR (EU / UK / EEA)
MindSoul's programming reaches a global audience, including visitors from the EU, UK, and EEA. For those visitors, we rely on the following legal bases to process personal information: your consent (e.g., newsletter sign-up), performance of a contract (e.g., open call participation, shop purchases), and our legitimate interests (e.g., operating and improving the Site).
If GDPR applies to you, you additionally have the right to:
- Request erasure of your personal information ("right to be forgotten")
- Restrict or object to certain processing
- Receive your data in a portable format
- Lodge a complaint with your local data protection authority
Where your information is transferred outside the EU/UK/EEA (e.g., to our Canada-based systems or service providers), we take reasonable steps to ensure it receives an adequate level of protection.
9. California Residents (CCPA/CPRA)
If you're a California resident, you have the right to know what personal information we collect, request its deletion, and opt out of any "sale" or "sharing" of personal information. 10. Children's Privacy
The Site is not directed to children under 13 (or the applicable minimum age in your jurisdiction), and we do not knowingly collect personal information from children under that age.
11. Security
We take reasonable technical and organizational measures to protect your information, but no method of transmission or storage is 100% secure.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law (Canadian, EU, or otherwise). The "Last updated" date above reflects the most recent revision.
